Submitting Major Works to ProQuest

As a graduation requirement, all successfully defended TEDS Ph.D. dissertations, D.Min. projects, and M.A. theses must be submitted electronically to ProQuest for inclusion in its Dissertations and Theses database. (Please Note: M.A. capstone projects are not published.) This guide will instruct you how to create a ProQuest account and upload your document.

The TEDS community has access to its graduates' dissertations, projects, and theses via ProQuest's Dissertations and Theses @ Trinity International University database. These major works are provided in PDF format and are (in most cases) available from 1997 onward.

Please Note: You don't have to complete this entire process in one sitting. The ETD site will save your progress as you complete each page.

Creating a ProQuest ETD Account

In order to submit your major work, you'll need to create an account on the ProQuest ETD (Electronic Dissertations & Theses) site. This is the portal where you'll enter your work details, upload your PDF, and choose your publication options. 

To get started, click the button below or manually enter https://www.etdadmin.com/?siteId=329 into your browser's address bar.

 

On the ETD Administrator site, click the Start the process button and enter your personal information into the Create new student account form.

  • If you've already created a ProQuest ETD account, click the Log in with your account button and log in using your existing credentials.
  • Use your personal email address, not your TIU email, when creating your account. This will allow you to maintain access to this site after your Trinity credentials expire.
  • Check your email and click the confirmation link to activate your account.

Submitting Your Work

Once you've created your account, you're ready to begin the ProQuest submission process. Do not begin the submission process until all revisions have been approved by your advisor.

 

ETD Administrator Instructions

Compile your entire work into a single PDF file.

Read through the ETD instructions.

Press the Continue button to begin your submission.

Publishing Options

Select your preferred type of publishing.

  • If you choose Open Access, you will be responsible for paying the $95 fee.
  • Even if you choose Open Access, you still retain copyright and intellectual property rights to the work.

Choose when you want your work to be published.

  • Common reasons for delaying ("embargoing") publication include sensitive topics/information and pending publisher agreements. Otherwise, it's generally expected that you'll grant immediate publishing.
  • If you do choose to delay release, you'll need to describe your reason to the administrators.

Decide whether you'd like your work to be indexed in Google Scholar.

  • Embargoed works will not be indexed until they're released.
  • Unless you have a specific reason to withhold indexing, it's best to allow it -- that way, other scholars can learn from your work!

Press Save & Continue to move to the next page.

Publishing Agreement

Read through the agreement for the type of publishing you have selected and press Accept.

  • If you decline the agreement, ProQuest won't publish your work.

Contact Information

Enter your contact information into the form and press Continue.

  • ORCID IDs are kind of like academic serial numbers. You can attach citations of your publications to this number and people will know that they all belong to the same person. (This is especially helpful if you have a common name.) You are not required to register for an ORCID ID and attaching it to your dissertation is optional.
  • The Institutional Student ID is your six-digit TEDS identification number.
  • Do not use your TIU email in this form. It will expire six months after you graduate.
  • Use the address where you'll be living six months after graduation. Do not use your campus address.

Dissertation/Thesis Details

Provide descriptive information about your major work.

  • The Title you enter should exactly match the title page of your major work.
  • In the Abstract box, enter the text directly from your abstract page. Access the text from your word processor file (rather than your PDF), so you don't end up with random line breaks.
  • Use the categories you've chosen from ProQuest's Subject Categories List. It's recommended to choose at least two.
  • Choose your keywords wisely. What terms do you think people will use if they're researching your topic?

If the primary language of your major work is not English, please provide an English translation of your title and abstract.

  • This will aid with cataloging and database indexing.

Enter the names of your committee members in the appropriate fields.

  • Your first reader's name goes in the Advisor/Supervisor/Committee Chair field, not your program director (unless your program director is your first reader).
  • Add the name(s) of any other reader(s) (including your program director, if applicable) into the Committee Members fields.

Submitting Your PDF

Upload a PDF of your major work and press Save & Continue.

  • Make sure that you have successfully defended your work and all revisions have been approved by your first reader before you upload.
  • After you complete your submission, the file will go to your program's document assistant. Be aware that you may need to reformat pieces of your work so that it meets Trinity's guidelines. It's perfectly acceptable to resubmit on the ETD portal if this is the case -- it's a normal part of the process.
  • Outside permissions should have been included as appendices to your work, so you shouldn't have any additional documents.

Notes to Administrator

Add any information you need to send to the TEDS document assistant and press Save & Continue.

  • This message is optional, and only the TEDS document assistant (not ProQuest) will receive this message.
  • If you have any special circumstances, requests, or contact information that would be helpful for the document assistant to know, enter it here.
  • You only have 200 characters, so keep it brief.

Copyright Request

Indicate whether you would like ProQuest to file for U.S. copyright on your behalf and press Save & Continue.

  • You can only file for copyright once. If this work (in any iteration) is already under copyright protection, you don't have to do it again. 
  • If you choose to have ProQuest file for you, you will be responsible for paying the $75 fee.
  • If you prefer, you may file for copyright protection for yourself at copyright.gov -- as of Spring 2025, the base registration fee is between $45 and $65.

Ordering Copies

Indicate whether you'd like to buy bound copies of your work.

  • Purchasing hard copies of your work is optional.
  • If you choose to purchase copies, you will be responsible for paying the associated costs.
  • If you choose not to purchase hard copies now, you can still purchase them through the ETD site. (If you do wish to purchase additional/later copies, make sure to use the discount link available on the ETD site -- purchasing through the Theses & Dissertations @ TIU site is approximately 40% more expensive.)

Provide your shipping address and press Continue.

  • If you've asked ProQuest to file for copyright on your behalf, you'll see the shipping details screen even if you're not ordering bound copies of your work. They'll use this address to send you the copyright registration once it's been secured.
  • Use the address where you plan to be living in 4-6 months. Do not use your campus address.

(You will only be able to see this screen after your submission has been accepted and published.)

Final Submission

Review the information you've entered and confirm it is correct by pressing Continue.

  • Look closely at this information -- this is what will appear on the ProQuest site.
  • If any of this information is incorrect, click the link to the appropriate page in the left-side menu and fix it.

Review your purchase summary and confirm it is correct by pressing Continue.

  • You may have up to three different types of charges here: Open Access publishing, Copyright registration, and Print copies.
  • Your shipping and billing addresses may be different -- the bottom of this page will display the shipping address.

Enter your billing information and press Continue.

  • Enter your billing address on this page.
  • Confirm that the name and address provided here match the credit card you'll be using for the purchase.
  • Once you've entered your address, you'll see a popup screen. Enter your credit card information here and press Pay.

Congratulations! You've successfully submitted your manuscript for publishing!

  • Once the credit card processes, you'll see a confirmation message.
  • Check your personal email for updates from ProQuest about the status of your publication. If you need to make any subsequent changes, they'll let you know.
